Reach Roles and Permissions Explained
A breakdown of who can do what in Reach, so you can set up users correctly and know what to expect from your own account.
Overview
Reach has three user roles. Which one you have determines what you can see and do in the portal. This article covers what each role can access, so Admins can set up accounts correctly and everyone else knows what to expect.
Who assigns roles?
Only Reach Administrators can create users and assign roles. If something needs changing, ask them.

Role Descriptions
Reach Administrator
Reach Administrators can see and manage everything across all departments. When creating one of these accounts, set the Department field to Global or All Departments. This is usually an IT admin or a platform owner.
Department Administrator
Department Administrators manage their own department. They can handle users, configure and approve templates, launch campaigns, and pull reports. They can't see other departments or touch platform-wide settings.
Department Staff
Department Staff have the narrowest access. They can manage subscriber records, launch campaigns, and review message history within their department. They can't create programs, approve templates, manage users, or open the Administration Hub.
Creating New Departments
New departments are created by Convey, not within the portal. Once Convey sets one up, a Reach Administrator can create the first Department Admin for it.
Frequently Asked Questions
Q: I can't see the Administration Hub. Is something wrong?
A: No, that's expected. The Administration Hub is only visible to Reach Administrators and Department Administrators. Department Staff don't have user management access.
Q: A Department Admin can only see their own department. How do I give them access to another?
A: Department access is set when the account is created. A Reach Administrator can either update the existing account or create a separate account scoped to the other department.
Q: Who can approve a template I submitted for review?
A: Reach Administrators and Department Administrators. Department Staff can submit for approval but can't approve.
Q: Can a Department Staff member launch a campaign for any department?
A: No. They're limited to their own department.
Q: How do I request a role change?
A: Ask your Reach Administrator. They can update your role in the Administration Hub.
