How to Add a Subscriber
How to add a subscriber by hand, field by field, and what to check if the form won't save.
Overview
This article covers adding one subscriber at a time using the Add Subscriber form. For large batches, see: How Bulk Upload Works.
Who can add subscribers?
Reach Administrators can add subscribers to any department. Everyone else is limited to their own.
What You'll Need
- Access to the Subscribers tab (all roles).
- First name, last name, and phone number at minimum.
- Email, address, city, state (2-letter code), and zip. Optional but worth filling in.
- The correct department selected if you're a Reach Administrator.
Step-by-Step: Adding a Subscriber
Step 1: Open the Subscribers tab
- Click Subscribers in the sidebar.
- Check you're on the Subscriber sub-tab, not Bulk Upload or Upload History.
- If you're a Reach Administrator, pick the right Department first.
Step 2: Click the Add button
- In the Search Criteria area, click the Add button on the right.
- The Add Subscriber pop-up will open.
Step 3: Fill in the subscriber's details
Fill in the subscriber's details. Anything with an asterisk (*) is required.
| Field | Required? | Notes |
|---|---|---|
| Department | Required | Pre-selected for Department Admins. Reach Admins choose from dropdown. |
| First Name | Required | Alphanumeric characters only. |
| Last Name | Required | Alphanumeric characters only. |
| Phone* | Required | Digits only. No dashes, spaces, or parentheses. US: 10 digits. International: up to 16 digits. |
| Optional | Required if you intend to send email notifications to this subscriber. | |
| Street Address | Optional | Free text. |
| City | Optional | Full city name. |
| State | Optional | 2-letter abbreviation only (e.g., MN for Minnesota, NY for New York). |
| Zip Code | Optional | Numeric zip code. |
Step 4: Save the subscriber
- Click Save at the bottom of the pop-up.
- A confirmation banner will appear at the top with the new Subscriber ID.
- You'll land back on the Subscribers tab and can search for them right away.
Having Trouble?
| What you're seeing | Why it happens | How to resolve it |
|---|---|---|
| Save button is greyed out / form won't submit | One or more required fields are empty or invalid. | Check that First Name, Last Name, and Phone are filled in. Phone must be digits only. |
| State field shows an error | The state was entered as a full name instead of a 2-letter code. | Use the 2-letter abbreviation: MN, FL, NY, etc. |
| I can't see the correct department in the dropdown | You may not have access to that department, or you are a Department Admin whose department is pre-selected. | Scroll through the dropdown if you're a Reach Admin. If the department isn't there at all, contact Convey to have it provisioned. |
| Subscriber was saved but I can't find them in search | Newly added subscribers can take a moment to become searchable. | Wait a minute or two and search again. Also check that the right department is selected. |
Frequently Asked Questions
Q: What is the Subscriber ID and where do I find it?
A: Reach generates it automatically when you save. It appears in the confirmation banner and in search results. You'll need it if you ever want to update the subscriber via bulk upload.
Q: Can I add the same person to multiple departments?
A: Yes. Each department gets its own record with its own Subscriber ID. There's no shared record across departments.
Q: What happens if I add a subscriber without an email address?
A: They'll still get SMS and voice notifications. Email just won't apply. You can add the email address later by editing the record.
Q: Is there a limit to how many subscribers I can add manually?
A: No hard cap, but if you're adding 10 or more, use Bulk Upload. It's much faster. See KB-013.
Q: Can I add a subscriber from outside the United States?
A: Yes. Enter digits only, no plus sign or country code formatting, up to 16 digits. Reach handles routing.
